The Vesta Aesthetics Referral Program ("the Program") rewards existing patients who refer friends, family, or colleagues to the practice. The Program is offered at the discretion of Vesta Aesthetics. The following terms govern how credits are earned, issued, and redeemed.
Any active Vesta patient is eligible to refer others. A "referrer" is the existing patient who introduces a new patient ("the referred patient") to Vesta. To be eligible, the referrer must have an active patient relationship with the practice at the time the qualifying event is completed. Vesta employees, contractors, and immediate family of staff are not eligible for credits.
The referred patient must be genuinely new to the practice. Any individual who has ever been a Vesta Aesthetics patient at any point since the practice opened in 2020 is not eligible to be referred under this Program. This includes patients who have lapsed, cancelled, been discharged, or otherwise discontinued care, regardless of the length of time since their last interaction with Vesta. Self-referrals do not qualify, and the referred patient must be a different individual residing at a different household address than the referrer.
Vesta makes reasonable efforts to verify referral eligibility against its patient records at the time the qualifying event is reviewed. If a referred individual is determined by Vesta to have any prior patient history with the practice, no credit is issued to the referrer, and the referred patient is not eligible for the $25 first-purchase credit under this Program. Eligibility determinations are made at Vesta's sole discretion.
A referral credit is earned only after the referred patient has completed BOTH of the following:
A consultation alone, without a subsequent qualifying purchase, does not trigger the credit. The referrer must be identified by the referred patient before or at the time of the initial consultation. If the referred patient does not identify their referrer prior to the completion of intake, the referral is not eligible under this Program: neither the $25 first-purchase credit nor the referrer credit will be issued, and the referral cannot be added or backdated after the fact. Vesta will make reasonable efforts to attribute referrals correctly when properly identified, but is not liable for missed attribution due to patient omission or late disclosure.
Credits are issued in U.S. dollars to the referrer's Vesta patient account based on what the referred patient signs up for:

Couples and multi-person signups. Each individual who signs up for a Vesta service or membership counts as a separate referral. A couples membership represents two patient accounts, two separate intakes, and therefore two referrals. If both members of a couple are referred by the same person and both sign up together on a 12-month plan, the referrer receives $100 per referred patient ($200 total) and each new patient receives their own $25 first-purchase credit. The same per-patient calculation applies at every tier.
Timing of the new patient $25 credit. The $25 credit issued to the referred patient is applied automatically to their first paid purchase after intake is complete. The intake consultation itself is included with the patient's first prescription dispense at no separate charge and does not consume the credit. The $25 credit is applied at the time of the first paid service, package, medication fill, or membership purchase that follows the intake.
After the qualifying event is verified, Vesta will add the earned amount to the referrer's Vesta patient account as gift card credit, typically within five (5) business days. Vesta will also send the referrer a short confirmation email noting the credit amount, the expiration date, and a reference number for the patient's records. Timing of credit issuance is approximate and subject to Vesta's normal verification process.
The referred patient's $25 first-purchase credit is added to the new patient's Vesta account following intake completion and remains on the account for redemption at the patient's discretion, subject to the expiration terms below.
Credits on a patient account function as a prepaid gift card balance. Patients may use credits at any future Vesta visit by requesting the credit redemption at the time of checkout. Vesta uses Optimantra to manage patient accounts and credits; if a credit is requested but does not apply correctly at checkout, the patient should notify Vesta and Vesta Aesthetics will make a reasonable individualized effort to ensure accuracy and apply the discount manually, at the sole discretion of Vesta Aesthetics.
In cases where a referred patient cancels, refunds, or otherwise reverses the qualifying purchase, the corresponding referrer credit may be voided or reversed at Vesta's sole discretion. If the new patient's $25 credit has already been applied to a completed visit, Vesta does not generally seek to recover that credit value, except in cases of suspected fraud or material misrepresentation.
Referral credits sit on the patient's Vesta account as gift card credit and remain available for use at any future Vesta visit, at the patient's discretion. Credits may be requested for redemption at checkout to reduce the price of any eligible Vesta charge, in full or in part, until the balance is depleted or the credit expires.
It is the patient's responsibility to identify themselves and request credit redemption at the time of checkout. Vesta is not obligated to proactively prompt, remind, or otherwise notify patients of available credits prior to or during any individual transaction. If a credit is not requested at checkout, the transaction is processed at standard rates and the credit balance remains on the account for future use, subject to expiration.
Credits not redeemed within twelve (12) months of issuance expire and are forfeited. Expired credits are not eligible for reinstatement, extension, or replacement. Vesta is not obligated to notify patients of an upcoming expiration date, though Vesta may do so as a courtesy at its sole discretion.
All credits expire twelve (12) months from the date issued. Credits may not be extended, reinstated, or carried over once expired. It is the patient's responsibility to redeem credits prior to expiration. Vesta is not required to notify patients prior to expiration but may do so as a courtesy.
Vesta Aesthetics treats all patient information, including referral relationships and credit records, as protected health information ("PHI") under HIPAA. Referral participation does not authorize Vesta to disclose any patient's identity, treatment history, or visit information to a referrer or to any other party except as required by law or as separately authorized in writing by the patient.
If a referrer asks Vesta to confirm whether a particular individual has scheduled or completed an intake, Vesta will decline to confirm or deny without prior written authorization from the referred patient.
Vesta Aesthetics reserves the right to modify, suspend, or terminate this Program at any time, for any reason, with or without notice. Changes apply prospectively. Credits already issued under prior terms remain valid through their original expiration date.
Vesta may, at its sole discretion, decline to issue credit for any referral it reasonably believes was obtained through fraud, coercion, misrepresentation, or violation of these terms. Vesta may also reverse or rescind credits already issued in the event of such conduct.
Credits issued under this Program are intended to function as a discount on future Vesta services and are not paid in cash. Vesta Aesthetics does not provide tax advice. Patients with questions about the tax treatment of any credit received should consult a qualified tax professional.
The Referral Program is offered "as is" and at Vesta's discretion. Vesta makes no representations or warranties, express or implied, regarding the timing of credit issuance, the technical functioning of credit application at checkout, the availability of any specific service or product the credit may be applied against, or the continued operation of the Program. Vesta is not liable for any indirect, incidental, consequential, or punitive damages arising from participation in the Program, including but not limited to lost opportunity to redeem credits prior to expiration, system errors affecting credit application, or changes to the Program.
In the event of any error in credit issuance, application, or tracking, Vesta's sole liability is limited to correcting the credit balance or issuing a replacement credit of equivalent value, at Vesta's discretion. Cash refunds are not available.
This Program is governed by the laws of the State of Utah, without regard to conflict-of-law principles. Any disputes arising from the Program shall be resolved through good-faith communication with Vesta Aesthetics in the first instance. Disputes not resolved through direct communication shall be subject to the jurisdiction of the courts of Utah County, Utah.
If any provision of these Terms is found to be unenforceable or invalid under applicable law, that provision shall be limited or eliminated to the minimum extent necessary so that the remaining provisions remain in full force and effect. Vesta's failure to enforce any provision of these Terms shall not constitute a waiver of that provision or any other provision.
